Privacy & Terms
Our privacy policy and terms of service, written in plain language.
Privacy Policy
1. Who we are
Services are provided by Rosenthal Business Services LTD. Reptile Industries is a trading name we use on this website. When we say “we” or “us” below, we mean Rosenthal Business Services LTD.
Our ICO registration/reference number is ZC112604.
2. What data we collect
Only what you give us directly:
- Contact form submissions — your name, email, organisation (if you include it), service type, hardware info, budget range, and project details.
- Emails — whatever you include when you email us.
- Project data — credentials, config files, and access details you share during a project.
There are no analytics scripts, tracking cookies, or ads on this site.
3. How we use your data
- To reply to your enquiry and put together a quote.
- To deliver and support the work you've hired us for.
- To follow up on active or recent projects.
We will never sell, rent, or share your personal data with anyone for marketing.
4. Contact form & email processing
The contact form uses FormSubmit, a form-to-email service. When you submit the form, your data passes through their servers and lands in our inbox. They don't store submissions long-term. See their privacy policy for more.
5. Project credentials & access
During a project, you may share server credentials, SSH keys, or remote access details. These are:
- Only kept for the duration of the project.
- Stored in encrypted form where possible.
- Deleted or returned within 7 days of completion, unless we've agreed otherwise.
We'd recommend rotating credentials once any engagement wraps up.
6. Data retention
- Enquiries — contact form data and emails are retained for up to 12 months, then deleted.
- Project data — removed within 7 days of project completion unless a maintenance agreement is in place.
- Invoices & financial records — retained for 6 years as required by UK tax law.
7. Your rights
Under UK GDPR, you can:
- Ask for a copy of any personal data we hold about you.
- Ask us to correct or delete your data.
- Withdraw consent at any time.
- Complain to the Information Commissioner’s Office.
For any of the above, email [email protected].
8. Cookies
This website does not set cookies. No analytics, no tracking, no cookie banners.
Terms of Service
1. Scope
These terms cover all services provided by Reptile Industries (“we”) to the client (“you”). By hiring us, you agree to these terms. If a specific project agreement says something different, that takes priority.
2. Services provided
We deploy, configure, and maintain self-hosted infrastructure on hardware you provide. That includes server setup, application deployment, networking, backups, monitoring, and documentation as agreed per project.
We don't provide hardware, hosting, or domain registration. Those are your responsibility.
3. Quoting & payment
- Quotes are provided in writing and are valid for 30 days unless we say otherwise.
- Flat-rate projects: 50% upfront, 50% on completion.
- Monthly plans are billed in advance.
- We accept UK bank transfer, PayPal, and crypto.
- Invoices are due within 14 days unless we've agreed something different.
4. Project timeline & delivery
Timelines are given in good faith but aren't guarantees. If delays happen on your end (late access, missing credentials, scope changes), the timeline may shift. We'll let you know if that happens.
5. Client responsibilities
You're responsible for:
- Giving us timely access to servers, credentials, and any accounts we need.
- Making sure you have the right to use the hardware and software involved.
- Having your own backups of critical data before we start.
- Communicating requirements, constraints, and changes clearly.
6. Access & credentials
We need remote admin access (SSH, RDP, AnyDesk, or similar) to do the work. You grant this for the duration of the project. We won't access anything outside the agreed scope. We'd recommend rotating credentials once an engagement wraps up.
7. Intellectual property
Any config files, scripts, and documentation we produce during a project are yours once you've paid in full. We don't keep copies after the project ends unless there's a maintenance agreement.
We do reserve the right to reuse general techniques, patterns, and non-proprietary tooling across projects.
8. Liability
- We take reasonable care, but infrastructure work carries inherent risk.
- Our liability for any claim is capped at the total fees paid for that project.
- We're not liable for losses caused by hardware failure, third-party outages, changes you make after handover, or force majeure.
- Backups are your responsibility. We'll advise on strategy, but data integrity is ultimately on you.
9. Confidentiality
Everything you share with us — data, credentials, project details — is treated as confidential. We won't share it with anyone unless the law requires us to. This applies even after the engagement ends.
10. Cancellation & refunds
- Either side can cancel with written notice.
- If you cancel after work has started, you owe for the work done so far.
- Upfront payments for work that hasn't started are fully refundable.
- Monthly retainer fees aren't refundable for the current billing period.
11. Modifications after handover
Once we've handed a project over, any changes you or someone else makes are outside our responsibility. If you need further work done, we're happy to quote it.
12. Dispute resolution
We'd rather sort things out informally. If that doesn't work, disputes are governed by the laws of England and Wales and fall under the jurisdiction of the courts of England and Wales.
13. Changes
We may update this page from time to time. Changes take effect when posted. Ongoing engagements stay under the terms that were in place when they started. Last updated: March 2026.
